Personio ditched app sprawl for a streamlined, organized Atlassian ecosystem. Rovo handles repetitive tasks, Confluence makes knowledge accessible, Jira keeps work on track, and meetings go async with Loom.

A chaotic tool ecosystem without central governance

Personio was already a longtime Jira and Confluence user. But their overall ecosystem had little governance or standardization, with teams choosing and paying for their own solutions and licenses.

Context-switching and clunky handoffs slowed teams down, and the lack of tool oversight led to bloated license costs and security issues.

Keeping everyone close to knowledge with Confluence

Personio phased out Notion and moved all teams to Confluence. It’s now their central hub for company news, resources, and knowledge, which has cut down on repetitive support questions and led to more self-service.

  • 60% increase in Confluence knowledge base usage, driving higher self-service: In Personio’s new knowledge hub, a dedicated page holds each team and department’s news and resources. Confluence analytics highlight the top-searched and most-relevant content.

  • AI-assisted whiteboarding: Personio is using Confluence’s improved whiteboard functionality. From a one-sentence prompt, Rovo generates a full diagram or sticky notes to kickstart collaboration so teams can get started on their work faster.

  • Knowledge governance: All Confluence pages have an active owner and are kept up to date, ensuring Rovo always sources accurate information. By having this central hub, Personio is able to ensure that everyone has access to the tech they need to do their work.

Our goal was to win teams' trust and drive adoption. Because we already rely on Jira and Confluence, we had a great opportunity to expand into the full Teamwork Collection. By adding Rovo and Loom, we save time with automation and async work.

By providing answers and speeding up tedious work, Rovo helps Personio get more value out of Teamwork Collection, driving increased usage and adoption of Jira and Confluence.

  • Duplicate Bug Detection Agent: reduces wasted engineering time by surfacing potential duplicate bugs and flagging false positive bugs the moment a new ticket is created. Good bye to duplicate investigation, hello to focusing on real defects!

  • Offboarding Equipment Returns Agent: Rovo improves the reliability and efficiency of IT offboarding by proactively engaging departing employees, guiding them through the equipment returns process. No more manual chasing from IT and workplace teams!

  • Ticket Priority Advisor Agent: evaluates Jira tickets against clear business rules and recommends a priority level, bringing consistency across teams and keeping queues focused on what matters.

Personio went async-first, cut hundreds of redundant meetings, and streamlined customer communication with Loom.

  • Async collaboration: Instead of synchronous meetings, employees share Loom recordings explaining what they need to share.

    • Recipients can comment on the video, react with emoji, or reply back with another Loom.

    • Along with every video, Loom generates a summary document and supporting messages providing context.

  • Customer training and enablement: Loom videos can often replace live calls with customers, saving everyone time.

    • It takes less than five minutes for employees to edit a new Loom so it’s polished and customer-ready.

    • Using Loom in training allows Customer Support teams to visually walk customers through the product, rather than just giving instructions.

We did a meeting makeover: if it can be async, it will be, no exceptions. Loom enabled that. It’s a game changer for async work.
